GUIDE FOR WEDDING PLANNERS
Coordinating wedding sound is not just about hiring equipment and hoping everything works. For a wedding planner in Málaga, managing the audiovisual supplier properly makes the difference between a flawless ceremony and a failure nobody wants to remember.
This technical checklist is designed for wedding coordinators and planners in Málaga, Marbella and the Costa del Sol who need to check every critical point before, during and after the event. It is laid out as a step-by-step guide, from the site visit to the final check on the wedding day.

01 · GUIDE FOR WEDDING PLANNERS
1. Step 1: carry out a technical site visit to the venue
Before confirming any equipment, the space comes first. Every finca, villa or hall has its own acoustic and electrical conditions, and they shape everything else.
What to check during the visit:
- Size of the space: indoor, outdoor or mixed, and whether there are separate areas for the ceremony, cocktail reception and banquet
- Floor and wall types: materials have a direct effect on the acoustics
- Available electrical power: real power available, number of independent circuits and distance to the distribution boards. Ideally the sound system should have its own circuit, separate from the catering (ovens, coffee machines, cold rooms)
- Rigging points for lighting: beams, ceilings and structures available for hanging equipment
- Ambient noise: traffic, prevailing wind outdoors, air-conditioning units
- Noise limiter-recorder: whether the venue has one installed, where it is, what levels and times are programmed and whether it also controls the outdoor areas
- Surroundings and times: distance to nearby homes and how late music is allowed outdoors
- Rain or wind alternative: covered space available and whether it has the same electrical power
At venues in Málaga and the Costa del Sol, a large share of last-minute problems starts at this stage: with a site visit that never happened or was rushed. If possible, do it at the same time of day as the ceremony, so you can assess the real light and ambient noise.

2. Step 2: wedding sound technical checklist, phase by phase
The wedding technical checklist for sound is split by event phase. Each phase has its own requirements and they are not interchangeable. To go deeper into the equipment each one needs, see our technical guide to wedding sound and lighting by area.
Ceremony
- PA system or line-array columns for the ceremony, sized to the number of guests and the area and positioned so it does not cause feedback with the microphones (outdoors, the sound system must also cover the back rows without raising the level at the front)
- Wireless lavalier or headset microphone for the officiant, with a windshield if the ceremony is outdoors
- Handheld microphone for readings and vows, plus a second, already tested backup microphone
- Entrance and exit music prepared on a main source and on a backup source
- Technician positioned with a direct view of the altar or, if that is not possible, remote control of the mixing desk via tablet over a stable network
- Wireless microphone frequencies checked at the venue itself and within the bands permitted in Spain (older equipment working in the 700 or 800 MHz bands can no longer be used)
Cocktail reception
- Ambient speakers properly distributed, with even coverage and no dead spots
- A volume that lets guests talk without raising their voices: as a rough guide, around 60-70 dB(A) in the guest area and always within the limit authorised at the venue
- Independent music source or an extension of the main system
Banquet and dancing
- Main PA system sized for the total number of guests
- Subwoofers if there is a dance floor, positioned and tuned bearing in mind that low frequencies travel furthest and cause the most neighbour complaints
- Mixing desk run by a sound technician present throughout the event
- Microphones for speeches: confirm who speaks and when
- Inputs planned for the DJ or live band and, if the venue has a limiter, confirmation that their equipment also connects through it
Important note: always confirm that the quote for wedding sound hire includes a technician present throughout the event. Equipment without a qualified operator is an unnecessary risk.

03 · GUIDE FOR WEDDING PLANNERS
3. Step 3: lighting technical checklist for a finca wedding
Lighting at a finca wedding has as much visual impact as the floral décor, yet it is often planned in the last few days.
Ambient and decorative lighting
- Defined colour temperature (2700-3000 K warm light for classic weddings)
- Uplights or floor spots to light the perimeter of the room, the façades or the garden trees
- Table and centrepiece lighting coordinated with the flowers and candles
- Lighting for the photocall or wedding arch
Technical stage lighting
- Soft front lighting for the ceremony and speeches, without harsh shadows on faces, which also helps photography and video
- Dance floor lighting: moving heads, LED wash or effects depending on the style of the wedding
- DMX control or lighting desk with pre-programmed cues
Installation and set-up
- Set-up time confirmed with the venue: when the technicians can get in
- Access for the loading vehicle
- Confirm there is no clash with other suppliers during the same set-up window
- Outdoor wedding LED lighting suitable for the weather (IP65 protection or higher if it may get wet or catch dew), with protected connections and cables marked in walkways
- Smoke machines or hazers indoors only with the venue's permission, as they can set off the fire detectors
04 · GUIDE FOR WEDDING PLANNERS
4. Step 4: put the coordination with the AV supplier in writing
Coordination with the audiovisual supplier is where many weddings go wrong, not because of poor technique but because of a lack of communication. That is why it pays to work with a supplier used to working with wedding planners and to respecting each venue's timings.
Key points to agree in writing:
- Technical rider or written technical proposal, with the full equipment list (make and model) and the electrical power it needs
- Exact times: set-up, sound check, event start and get-out
- Technical contact person on the wedding day (name and direct mobile number)
- Communication protocol with you during the event: walkie-talkie, intercom or phone
- Volume management: who has the final say if the venue or neighbours complain
- Public liability insurance for the supplier and any other documents the venue requires
In Málaga, Marbella and the rest of Andalusia, controlling sound levels is not optional. Decree 50/2025, which approves the Regulation for the preservation of acoustic quality in Andalusia, requires a limiter-controller in establishments whose sound equipment can exceed the applicable noise limits or 85 dBA, or where there are live performances with amplification, and states that no amplified element may be left outside its control. Municipal by-laws and each venue's licence also set specific times and levels.
In practice, if the venue has a decibel limiter, all the wedding sound (AV supplier, DJ and band) must be connected through it. Make sure your supplier knows these conditions and ask the venue about the authorised times and maximum level, especially if the party is held outdoors.
If the space has already had noise complaints, an acoustic survey shows what real margin there is before you settle on the format of the party.
05 · GUIDE FOR WEDDING PLANNERS
5. Step 5: insist on an event backup plan
No professional checklist is complete without an event backup plan. Equipment fails. The question is not whether it will happen, but whether you are prepared.
The minimum to require from any supplier:
- Spare amplifier or speaker, or a secondary PA system for speech
- At least two working wireless microphones (even if only one is used) and a wired microphone ready, which does not depend on radio frequency
- Enough spare cables, and spare batteries
- Alternative music playback device (tablet, laptop)
- UPS (uninterruptible power supply) for the mixing desk and playback, so a brief power cut does not stop the music
- Generator if the venue's supply is not guaranteed or not sufficient: silenced, sized with headroom, with fuel for the whole event, properly earthed and placed away from the ceremony and the tables
- Equipment protection and a covered alternative in case of rain or wind
Ask directly: "What happens if the main system fails during the first dance?". The answer will tell you a lot about the supplier's real standard.

06 · GUIDE FOR WEDDING PLANNERS
6. Step 6: final check on the wedding day
At least one hour before the first guests arrive, it is worth doing one last run-through:
- Full sound check with all microphones live and with fresh batteries
- Lighting check in the real light conditions of the moment
- Running order of the music confirmed with the technician
- Cables tidied, secured or covered with cable protectors in walkways, for the safety of guests and staff
- Contact confirmed with the venue's event manager

7. Frequently asked questions about wedding sound for wedding planners
How far in advance should the site visit to the venue take place?
Ideally as soon as the venue and the wedding format are confirmed, and always with several weeks to spare, so that needs such as a generator, more electrical power or a rain alternative can be resolved in time. If possible, do it at the same time of day as the ceremony.
What is a sound limiter and how does it affect a finca wedding?
It is a device that controls the maximum level the sound system can output; limiter-recorders also log levels and incidents. Many fincas and event halls have one installed because the regulations or their licence require it. If the venue has one, all the sound (supplier, DJ and band) must go through it, so it is worth knowing the programmed levels and times in advance.
Do you need a generator for a finca wedding?
Only if the available power does not cover the expected consumption of sound, lighting and catering, or if the supply is unreliable. In that case it must be silenced, sized with headroom, properly earthed and placed away from the ceremony and the tables. The AV supplier should state in writing how much power their equipment needs.
How many wireless microphones does a wedding need?
It depends on who is speaking, but at least one for the officiant, one handheld for readings and speeches and a spare, plus a wired microphone as backup. Frequencies should be checked at the venue itself, especially at hotels or fincas that host several events at once.
What lighting works best for an outdoor wedding?
A base of warm light (2700-3000 K) for the atmosphere, soft front lighting for the ceremony and speeches, and dedicated lighting for the dance floor. Outdoors, fixtures and cabling must be weatherproof and protected, and you need to plan for what happens if it rains or the wind picks up.
What should the AV supplier's quote include?
The equipment list, the times for set-up, sound check and get-out, the technician present during the event, the contact person, the electrical requirements, the backup equipment and the conditions if the schedule changes.
08 · GUIDE FOR WEDDING PLANNERS
Conclusion: a wedding sound checklist that prevents surprises
Getting wedding sound right in Málaga is not just about having good equipment. It depends on having checked everything in good time, having coordinated the AV supplier properly and having a real backup plan for when something fails.
This checklist is the starting point. Adapt it to each wedding, each venue and each client.
